Who this covers
Bookline provides overflow and after-hours phone answering to small businesses (“clients”). This policy covers three groups: people who call a client's business and reach the assistant (“callers”), the client's owners and staff, and visitors to this website.
Callers
We act on behalf of the client whose number you called. On each call we collect your phone number, your name if you give it, the reason category for the call, any appointment time booked, a recording and transcript where permitted, and a short summary for the business. We ask callers not to provide payment details, insurance member numbers, dates of birth, or detailed symptoms and case facts. Volunteered information can still enter the call record, transcript or summary.
The call flow requires assistant disclosure and the agreed recording notice and refusal path. These must be verified against the actual provider configuration. Messaging requires an enabled, tested route, appropriate contact permission and opt-out handling.
Full detail — where each item is stored, for how long, and who can see it — is in our data-handling note.
Clients
We keep the business details needed to run the service: hours, approved facts, transfer numbers, notification numbers and email addresses, calendar connection details, and billing contact. We use them only to operate and support the service and to send the summaries and reports you asked for.
Website visitors
This website does not use advertising trackers or analytics cookies. If you sign in, our authentication provider (Clerk) sets the cookies needed to keep you signed in.
Service providers
The selected service uses Retell AI for call handling, Telnyx for carrier services and messaging, Cal.com for calendars, Supabase for storage, Resend for email, Anthropic or OpenAI for summaries, Clerk for sign-in and hosted billing, Inngest for background work, and Vercel for hosting. Some integrations are still being migrated. Confirm the actual providers, processing locations, retention and agreements for your business before activation; selection alone does not establish these protections.
Retention and deletion
Retention settings are targets that require verification across the application and its providers. Request an export or deletion review through Bookline; completion requires checking relevant copies and provider records. This draft does not attest that deletion has run.
